Executive Assistant - San Francisco

Our client, a San Francisco based private investment firm, is seeking an Executive Assistant to join their team. The Executive Assistant will work closely with one of the firm’s Managing Directors, as well as support one to three junior executives in the firm.  The successful candidate for this position will be responsible, organized, accurate and helpful to others. The position is based in San Francisco.


•   Arrange travel for multiple executives

•   Maintain executive calendars, both personal and professional, as needed

•   Answer phones, your executives and office wide, as needed

•   Prepare and submit expense reports for various executives in a timely and accurate     manner

•   Facilitate and coordinate project work, to include possible research, copying,      
    binding, organizing meetings and drafting materials

•   Assist with events, to include planning and executing board meetings, investor
    meetings, and other material preparation

•   Special projects, as needed (i.e. office moves, software implementation, firm
    initiatives, etc.)

Candidate Profile

The successful candidate will have experience working with senior executives, as well as experience managing projects & events, working cooperatively in teams and working efficiently alone.  The Executive Assistant will demonstrate dependability, follow through, patience and consistency.  The right candidate will value people, teams, routine and organization.  


•   At least eight years senior-level administrative support experience

•   Bachelor’s degree or equivalent work experience

•   Ability to take ownership of position, notice what needs to be done to help people,
    and do so quietly

•   Ability to focus on seeing the facts clearly and accurately, especially those related to

•   Ability to notice what needs to be done for others and follow through in a timely

•   Should be self-determined, efficient, and confident, while also being flexible

•   Must be thorough, painstaking, and patient with particulars and procedures

•   Ability to work flexible hours

•   Proficiency with Microsoft office, Salesforce, and Concur
